Our Process: From Vision to Execution

Step 1: Getting Started

Your experience with PORT begins with a conversation. Share a look book, inspiration images, or simply your vision—we’ll schedule a discovery call to learn more about your event, venue, and timeline. We'll also review:

• Your selected venue and event date(s)

• Desired lighting elements and objectives

• Floor plans or mockups (if available)

• Load-in schedules and vendor coordination

We tailor every aspect of our lighting production services to fit your exact needs, ensuring alignment with your creative direction and logistics.

Step 2: Site Visit

Next, our team conducts a comprehensive site visit to assess the space. We’ll evaluate:

• Power availability and distribution

• Rigging points and fixture placement

• Venue rules and technical constraints

No matter the location—be it Boston, Miami, or beyond—PORT Lighting ensures your lighting production is ready for a seamless installation.

Step 3: Quoting & Preparation

After the site visit, we craft a custom lighting plan and price quote. Once approved, we coordinate with your production schedule and other vendors to ensure efficient setup.

To support visualization and creative approval, we offer:

• 3D renderings and pre-visualization

• Pre-programming of lighting cues for tight timelines

Step 4: Showtime

When it's time to bring everything to life, your assigned PORT expert will be on-site to oversee the entire lighting installation and operation. We:

• Install and test all lighting fixtures

During the event, our experienced operator will run cues in real-time, ensuring every lighting moment hits precisely when it should. At the end of the night, we coordinate a smooth, efficient load-out with your vendors to protect your timeline and space.
